Firstly, apologies that we didn't have these results to dicsuss during the presentation. I had believed that only 3 surveys had been completed when in fact it was 10. The Survey Monkey website had a recent upgrade and I missed updating a filter that would have shown me all 10 results. But, here they are now . . .

Summary of key findings for CEO Institute Syndicate #4 (see further below for fuller details);

  • Syndicate #4 members send & receive an average of 76 e-mails per day (26 sent and 50 received). This equates to nearly 16,720 messages per person, per year*! What else is done as often in the business?
  • Less than 45% of incoming email requires any action, indicating a high proportion of irrelevant email.
  • 37% of e-mail is received as ‘cc’ – it is not directly related to your role. This indicates a massive problem with the understanding, expectations and culture of using ‘cc’ in the business, but it can be easily addressed.
  • 29% of e-mail would be better communicated as a verbal conversation (either via phone or face-to-face). This highlights to need for an Email Charter to clarify which tool is most appropriate for various communications.
  • An average of 1.89 hours per day is spent processing e-mail is relatively low but the dollar value of this time is $39,786 per person. While this well below the average of $65,022 for CEO Institute members, multiplied even by as few as 25 staff, it equates to a annual cost of nearly $1 million dollars for a business!
  • The average number of messages in the inbox across all those 7+ years is an amazing 6405 e-mails per person! This represents 6405 pieces of unfinished business (even if the only action required is to delete or file), resulting in clutter and distracted attention for new incoming messages.
  • The highest ranking email problem is ‘Getting no response to an email that clearly requires a response’ and the second highest is ‘Email interruptions’. These two problems should be at opposite ends of the rankings, not together at the top. It indicates that way that email is handled, in a largely ‘interruptive and reactionary’ mode is proving to not be effective for either sender or receiver!
